This Privacy Policy explains how Northstar College Athletic Recruiting, LLC (“Northstar,” “we,” “our,” or “us”) collects, uses, shares, and protects information in connection with our website at northstarcollegeathleticrecruiting.com (the “Site”) and our recruiting consulting services. Because we work with student-athletes who are often minors, and because our services involve sharing a student-athlete's information with college programs, please read this Policy carefully.

This Policy covers the consulting service and the marketing website. The Northstar Email Platform has its own separate privacy terms governing that software product.

1. A Note to Families About Minors

Our services are designed for high school student-athletes, many of whom are under eighteen (18). We rely on parents and legal guardians to be involved. Where a student-athlete is a minor, a parent or legal guardian provides consent through the Services Agreement, and that consent includes our sharing of the student-athlete's information with college programs as part of the recruiting process described below. We do not knowingly collect personal information from a child under thirteen (13) without verifiable parental consent. If you believe a child under thirteen has provided us information without such consent, contact us and we will address it.

2. Information We Collect

2.1 Information you provide

We collect information you and, for a minor, your parent or guardian provide, which may include:

  • Contact details — name, email address, phone number, and mailing location of the student-athlete and parent or guardian;

  • Athletic information — sport, position, club and high school, graduation year, statistics, achievements, and highlight and game film;

  • Academic information — grade point average, transcripts, test information, and related academic records;

  • Recruiting preferences — target schools, divisions, regions, and goals;

  • Communications — messages, emails, texts, and information shared during Zoom consultations; and

  • Payment information — processed by our third-party payment provider; we do not store full card or bank numbers ourselves.

2.2 Information collected automatically

When you use the Site, we and our analytics providers may automatically collect device and usage information, such as IP address, browser type, pages viewed, and referring pages, using cookies and similar technologies.

2.3 Information from others

We may receive information about a student-athlete from a parent or guardian, from coaches or clubs where you direct or authorize it, and from publicly available recruiting sources.

3. How We Use Information

We use information to:

  • provide, personalize, and improve our consulting services;

  • develop recruiting strategy, edit film, and prepare and conduct outreach on the student-athlete's behalf;

  • communicate with you about inquiries, scheduling, services, and recruiting activity, including by email, phone, and text;

  • process payments and administer the Services Agreement;

  • with permission, use names, images, likenesses, film excerpts, and results in our marketing and testimonials;

  • operate, secure, and analyze the Site; and

  • comply with law and enforce our agreements.

4. How We Share Information

4.1 With college programs — the core of our service

A central part of our service is helping student-athletes get in front of college coaches. With the consent provided in the Services Agreement, we share student-athlete information — which may include name, contact details, athletic and academic information, film, and recruiting materials — with college and university athletic programs, coaching staff, and their representatives. For a minor, this sharing occurs under the parent or guardian's consent. Once information is shared with a college program, that program's own use of it is governed by that institution, not by this Policy.

4.2 With service providers

We share information with vendors who help us operate, such as payment processors, scheduling and video-conferencing tools, email and text messaging providers, film-hosting and editing tools, cloud storage, and analytics providers. They are permitted to use the information only to provide services to us.

4.3 For legal and safety reasons

We may disclose information if required by law or legal process, to enforce our agreements, or to protect the rights, safety, or property of any person.

4.4 Business transfers

If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

4.5 We do not sell personal information

We do not sell personal information, and we do not share personal information for cross-context behavioral advertising, as those terms are defined under California law. We especially do not sell the personal information of minors.

Counsel note: confirm the “no sale/no share” statement matches actual practice, including how analytics and advertising tools on the Site are configured, before publishing.

5. Cookies and Analytics

We use cookies and similar technologies to operate the Site, remember preferences, and understand usage. You can control cookies through your browser settings; disabling some cookies may affect Site functionality. If we use analytics or advertising tools, they are identified in our cookie settings or disclosures on the Site.

6. Calls and Text Messaging

We use a scheduling and booking tool and a text-messaging tool to communicate with prospective and current clients. If you provide a mobile number, including by entering it on our booking or scheduling form, you consent to receive calls and text messages from us about your inquiry and services, sent by us or on our behalf, including by automated means.

Follow-up on incomplete bookings. If you enter and submit your phone number on our booking form but do not complete a booking, you may receive a follow-up call or text about your inquiry. You consent to this when you submit your number. Agreeing to receive these calls or texts is not required to book a call or to use our services. You can opt out at any time by replying to any message and telling us to stop, or by emailing support@northstarcollegeathleticrecruiting.com; we honor opt-out requests and suppress further messages after opt-out.

Where the person booking is a minor, a parent or legal guardian is responsible for any contact information submitted and consents to these communications on the minor's behalf. Message and data rates may apply. We do not share mobile opt-in information with third parties for their own marketing.

Counsel note: the text-messaging tool does not automatically process a STOP keyword, so opt-out is offered as a reply-and-remove method plus an email address, honored and suppressed manually. Confirm the booking flow presents Northstar's own SMS consent disclosure at or before the point the number is submitted (the booking tool's built-in notice links only to that tool's policies); that a reliable manual process captures and suppresses every opt-out, in any wording; and that messaging to minors aligns with the booking tool's 16+ invitee-age terms and applicable law. The booking-tool provider's invitee terms place responsibility for messaging consent, notices, and opt-out handling on Northstar, including manual opt-out processing where the channel has no automatic unsubscribe.

7. Data Retention

We keep personal information for as long as needed to provide services, maintain records, comply with legal obligations, resolve disputes, and enforce agreements. We may retain and use de-identified or aggregated information indefinitely. On request, and subject to our legal obligations, we will delete or de-identify personal information as described in Section 9.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials and communications secure on your end.

9. Your Choices and Privacy Rights

You may review or update information you have provided by contacting us. Depending on where you live and applicable law, you may have rights to:

  • know or access the personal information we hold about you;

  • request correction of inaccurate information;

  • request deletion of personal information, subject to legal exceptions;

  • opt out of promotional communications; and

  • be free from discrimination for exercising your rights.

For a minor, a parent or guardian may exercise these rights on the student-athlete's behalf, including asking us to stop further sharing of the student-athlete's information with college programs going forward. Note that we cannot retrieve information already shared with a college program. To make a request, contact us using Section 12; we will verify your request before acting on it.

9.1 California residents

California residents may have additional rights under California privacy law, including the rights described above and the right to know the categories of personal information we collect, use, and disclose. We do not sell personal information or share it for cross-context behavioral advertising. To exercise California rights, contact us using Section 12.

Counsel note: confirm which California privacy obligations apply given the company's size and data practices, and whether a formal “notice at collection,” categories table, or additional minor-specific disclosures are required. Confirm any federal obligations relating to the collection of minors' information.

10. Third-Party Links

The Site may link to third-party websites and services. We are not responsible for their content or privacy practices. Review their policies before providing information.

11. Changes to This Policy

We may update this Policy from time to time. We will post the updated Policy with a new effective date, and material changes will apply going forward. Your continued use of the Site or services after an update means you accept the updated Policy.
